Terms And Conditions
General
Feather Trail Safaris organizes and operates tailor-made and scheduled journeys across East Africa including Uganda, Rwanda, Kenya, Tanzania, and Burundi.
We also act as an agent for third-party service providers such as hotels, lodges, airlines, transport companies, and other tour operators. In such cases, additional supplier terms and conditions may also apply.
Travel conditions in Africa may differ from those in your home country. While travel across the region is generally safe and rewarding, clients are advised to take normal travel precautions throughout their journey.
General Conditions
A contract becomes legally binding once a booking is confirmed in writing or a deposit/payment is made to Feather Trail Safaris.
By confirming a booking, the client acknowledges and accepts these Terms and Conditions.
All agreed services, itineraries, inclusions, exclusions, and pricing shall be documented and shared before travel. Feather Trail Safaris reserves the right to make reasonable itinerary adjustments where necessary due to operational requirements, weather conditions, safety concerns, government regulations, or circumstances beyond our control.
Jurisdiction
Feather Trail Safaris is headquartered in Kampala, Uganda and operates under the laws of the Republic of Uganda.
Where services are provided by third-party suppliers such as lodges, camps, airlines, hotels, or other tour operators, the terms and conditions of those suppliers may also apply in addition to these policies.
Booking & Payment Policy
A non-refundable deposit of 30% of the total safari cost is required within 7 days to confirm a booking.
Primate Permit Policy
All gorilla trekking permits, chimpanzee permits, and other primate tracking permits must be paid 100% upfront at the time of booking.
This is because permits are issued by wildlife regulatory authorities on a strict first-come, first-served basis, and Feather Trail Safaris must immediately secure and purchase permits to guarantee availability.
Once primate permits are purchased and secured, the permit payment is strictly non-refundable.
The remaining balance for the safari must be cleared no later than 30 days before travel.
Full payment is required immediately for:
- Peak season travel (June–August and December–January)
- Gorilla and chimpanzee trekking permits
- Domestic or international flight bookings
- Last-minute bookings made within 8 weeks of travel
Bookings are considered confirmed only after payment has been received and acknowledged by Feather Trail Safaris.
Pricing Policy
All quoted prices include the services specifically listed in the itinerary and applicable taxes unless stated otherwise.
Prices may change due to circumstances beyond our control including government tax increases, fuel price fluctuations, exchange rate changes, park fee revisions, or supplier adjustments.
If a price increase exceeds 10% of the original package price, clients may:
- Accept the revised pricing
- Select an alternative itinerary
- Cancel the booking without penalty excluding non-refundable permit costs already secured
Refund Policy
Refunds apply only where services were not delivered as agreed and where Feather Trail Safaris is directly responsible.
Any issue affecting the trip must be reported immediately during the safari to allow an opportunity for resolution. Failure to report concerns during travel may affect eligibility for refunds afterward.
Important Refund Exceptions
- All primate permits are strictly non-refundable once secured
- The 30% booking deposit is non-refundable
- Flight tickets and third-party supplier services may carry separate cancellation charges according to supplier policies
Cancellation Policy
By the Company:
Trips may be cancelled due to insufficient bookings in the case of scheduled group departures, operational challenges, safety concerns, force majeure events, or circumstances beyond our control.
In such situations, clients will be offered either:
- A full refund for recoverable services
- An alternative travel arrangement of equal value where possible
Please note that non-refundable third-party costs such as primate permits remain subject to wildlife authority regulations.
By the Client:
All cancellations must be submitted in writing via email.
Additional Cancellation Conditions
- The 30% booking deposit is non-refundable
- All primate permit payments are 100% non-refundable once paid and secured
- Reservation amendments or date changes may attract administrative and supplier-related fees
- Approved refunds will be processed after deducting bank charges, transfer fees, and non-recoverable supplier costs
Liability
Feather Trail Safaris is committed to delivering professionally organized safaris and travel services.
However, we shall not be held liable for:
- Loss, injury, illness, accident, delay, or damage caused by third parties
- Airline delays or cancellations
- Government actions or border restrictions
- Weather conditions
- Wildlife behavior
- Road conditions
- Theft or personal property loss
- Events beyond our reasonable control
Clients participate in adventure and wildlife activities at their own risk and are strongly advised to obtain comprehensive travel insurance covering medical emergencies, cancellations, evacuation, and personal belongings.
Force Majeure
Feather Trail Safaris shall not be considered in breach of contract where performance is prevented or affected by circumstances beyond reasonable control including:
In such cases, reasonable efforts will be made to provide alternatives, postponements, or recoverable refunds where possible.
